JOBRESPONDER.COM USER MANUAL


The JobResponder system is simple to set up and run, it uses a step by step process approach.

 SETTING UP FOR THE FIRST TIME: 

On entering the system you will be given 5 Options: 

  • Applicants : (Respond to an ad) is used by applicants responding to ads already set up in the system. 
  • Corporate & agency users: You should choose this option to set up and use the system.
     
  • View ad response: view all your response results once you have started using the system. 
  • Update your profile: is used for changing your account details e.g. should your telephone   number have changed etc.
     
  • User Manual: Full user manual to assist you in working with JobResponder.com.

     

Step 1 - Choose Corporate & agency users to set up or use a response center service 

After having chosen this option, you will be taken into the Login screen where you will again be given 2 options. 

  • Registered users login:  if you have already set up a JobResponder Account. You will use this option when setting up Ad response functions in the future 
  • "New Users click here to create a new profile": Choose this option if you are a first time user & you will be guided through the setup process. 

Step 2 - Choose "New Users Click Here to create a new profile"

You will be asked to fill in a few personal details e.g. name, contact number. You will also be asked to choose a password number. In the future you will only need your e-mail address and password to enter the system 

Step 3 – Click on the “register” button 

This will take you into the enter your ad details page. Type in your ad information as it will appear in the newspaper. This information will be viewed by respondents on entering the system as a confirmation that they have the correct ad. 

Step 4 - Click on the “enter” button once you have completed the above entry.  

This will take you into the question set up page. Here you will type in up to 10 “must have” (inherent) criteria questions and 10 “nice to have” criteria questions. These questions will be posed to all ad respondents on entering the system to establish suitability.

At the top of this page you will see the statement please click here and read “compiling your questions” before continuing. Clicking on this will take you into a full explanation of how to compile your questions. 

Step 5 - Once you have completed the question set up click on the “enter” button. 

NB: should you wish to change your questions or ad details please read “Changing ad or Question details” under  the “ viewing  your ad  responses” (under step 3) section below for details.

Step 6 – Payment

Two payment methods are available:

  • Secure credit card payment: Immediate and secure on-line payment using your creditcard.

You will now be taken through the simple payment procedure. Jobresponder uses Digital Age Technology (DAT) (http://www.dat.co.za ) for payments, all payments are made through their secure card payment system (your account will be debited by dat and not by JobResponder.). Your card details are not registered or stored on the Jobresponder website at all. Digital Age Technologies is a Thawte secure site.

  • Bill Me: Should you not have a credit card available and/or wish to be invoiced for the payment, the "Bill Me" function allows you to fill in a form with the required invoice details, and then immediately continue on to setup completion. A consultant will contact you to confirm invoice details and an invoice will be e-mailed to you . Payment is required within seven days of invoice.

Step 7 – Ad placement in relevant media 

After successfully completing the simple payment process you will be provided with a reference number which should be included in your newspaper ad along with the JobResponder system address www.jobresponder.com as this will be used by respondents to respond to your ad.

NB: Please remember to set up the response system for your position before putting your ad in the paper as the reference number provided needs to be included in the ad along with the website address www.jobresponder.com 

Congratulations! You have successfully set up the JobResponder system to handle your ad response. You can now sit back and let the system handle your response 24 hours a day, 7 days a week.

VIEWING YOUR AD RESPONSES: 

Step 1 - Choose Option "View ad response" on entering the system 

Step 2 -Type in your email address and password and click on the “login” button 

You will now see a list of all the ads you have set up: 

Step 3 - Click on “response list” under options of the ad you would like to view responses to. 

If this option is not available and “change ad details / questions” is available instead, this means no responses have been received as yet.
You are therefore still able to change your ad details and “must /nice to have questions”.  

CHANGING YOUR AD OR QUESTION DETAILS

You can make any required changes by simply clicking on the relevant heading making the changes and then clicking on the “Update” button. 

Changing you Ad details and “Must Have”  / “Nice to Have” details is only allowed until the first response has been received this is in place for Labor Law compliance (all respondents matched against the same criteria , it also ensures accurate ranking statistics)  

Step 4 - Once entering the “response list” you will be provided with these statistics: 

  • Total qualified responses = respondents who successfully answered all the “must have” questions correctly 
  • Total unqualified responses = respondents who did not answer all of the “must have” questions correctly and have therefore been automatically negated. 
  • Total Ad responses = total qualified responses + total unqualified responses.  

Below this you will be provided with a list of all of the successful responses ranked from highest to lowest match (based on the “nice to have” questions ranking system.)

You will have a number of options available at this time e.g.

  • Remove (totally deletes from system)
  • Shortlist
  • View / print  individuals scores
  • View / print individuals résumé’s
  • Send negate e-mail function.
  • Etc. 

Clicking on the red headings above each function will provide further details on their usage. All of this information will be available for 3 weeks from set up and payment for each specific ad.

USING THE SYSTEM AFTER INITIAL SETUP: 

To set up other ads on the center once you have already used / set up the center. 

Step 1 - Choose option "Corporate & Agency Users" on the opening page.  

Step 2 – Type your email address and password in the spaces provided.

Step 3 - Follow the same process as in “Setting up for the first time”  from “entering your ad details” (Just after step 3) onward.
